The Assistant to EU Top Management provides seamless executive support to the Europe CEO and CFO, ensuring efficient coordination of schedules, communications, and administrative priorities. This position also manages key budget processes and common organizational expenses while supporting selected executive welfare activities across departments. Through accurate documentation and timely reporting, the role strengthens operational effectiveness and enhances executive decision‑making.

 

Key roles & responsibilities

 

  • Executive support for CEO & CFO: Proactively manage complex calendars, priorities, and communications; coordinate meetings, welcome guests, and follow-ups.
  • Budget coordination: Assist with the annual budgeting cycles, monthly tracking, and variance checks for executive office and common cost centers.
  • Common cost management: Process, reconcile, and monitor shared organizational expenses (e.g., subscriptions, events, office services), ensuring accuracy and policy compliance.
  • Executive welfare support: Coordinate selected cross-department executive welfare/benefits activities (e.g., memberships, corporate events), maintaining accurate records and confidentiality.
  • Reporting & documentation: Prepare concise reports, briefs, and meeting minutes; maintain executive files, actions logs, and dashboards with high data integrity.
  • Expense & invoice processing: Handle POs, vendor invoices, and expense claims for the executive office; liaise with Finance for timely approvals and month-end closing.
  • Meeting & travel logistics: Arrange end-to-end travel, visas, itineraries, and on-site logistics; prepare agendas, briefing packs, and pre-reads.
  • Stakeholder coordination: Serve as point of contact between the executive office and internal/external stakeholders; ensure timely information flow and issue resolution.

 

Required qualifications, skills and experience 

 

  • Bachelor's degree in Business Administration, Communications, Marketing or related field
  • Good verbal and written communication skills
  • Good time management skills with an ability to meet deadlines
  • Integrity and confidentiality
  • Skillful at utilizing Excel / PPT
  • Fluent in English and Korean, German is an added value
